Replace the Coffee Cart with a Live Engraving Activation
A live laser engraving station can take the place of the coffee cart at your corporate event. It costs $275 per hour with a 2-hour minimum, and every guest who stops by leaves with something engraved in about 90 seconds. It is not a cheaper coffee cart. It is a different kind of activation, one that guests watch, take part in and carry home.

If your guests need caffeine at 8 a.m., keep the coffee. We do not serve it. Engraving works best as the thing people talk about at the event and keep afterward.
How the activation works on the day
We arrive early and set up the engraving station at your venue. That could be an office lobby at Legacy West, a conference room in Addison or a ballroom in Fort Worth. Everything is mobile, so you do not need to send guests anywhere.
Guests walk up, pick an item and watch the engraving happen. Each piece takes about 90 seconds. Each guest sees a visual rendering of their design on the kiosk before it is engraved, so they know what they are getting.
The result is a small line of curious people instead of a crowd waiting for a cup. Guests talk while they wait. The finished piece carries your logo or message out of the building.
What it costs
Live engraving is $275 per hour. The minimum is 2 hours, and events with 50 to 100 guests have a 3-hour minimum. Here is the math before travel.

There is a $150 travel fee if your venue is outside Collin County. A 3-hour event with that fee comes to $975.
A 50% deposit holds your date. The remaining 50% is due the day of the event. On the $825 booking, the deposit is $412.50.

How many guests you can serve
Plan on 15 to 25 guests per hour. That comes from about 90 seconds per engraving, plus the time guests take to step up and step away.

Be honest with yourself about headcount. If 100 guests all want a piece, you need roughly 4 to 7 hours of engraving time. If you book 3 hours for 100 guests, not everyone will get one.
Many planners run the station during a set window, such as a networking hour or a break between sessions. A defined window keeps the line moving and gives the activation a clear start and end.
What guests can get engraved
We engrave on more than 300 materials. The maximum design size is 5 x 5 inches, so plan a logo, a name or a short line of text that fits that space.
We engrave in English, Arabic, Japanese, Chinese and Spanish. Hindi and Urdu are special requests, so arrange them with the laser artist ahead of time. The in-app preview cannot show non-English text, so talk through those designs directly.

What we do not do
Honest limits save you a bad surprise.
- No studio visits. LaserLux Lab is 100% mobile, based in Princeton, TX. We come to you.
- No designs larger than 5 x 5 inches.
- No bookings under 2 hours. The 2-hour minimum applies to every live engraving event, and 50 to 100 guests need 3 hours.
- No coffee. We replace the cart as an activation, not as a beverage service.

Booking follows five steps, and nothing is charged until you have the details in writing.

Is it the right fit for your event?
Live engraving suits events where guests mingle, wait or stand around between sessions. It works when you want people to remember your brand and take something home. It is a poor fit if you only need a drink service or a giveaway handed out in seconds.
